You pick up your rental in Vancouver. At this time, we'll run you through how to set up the Roof Top Tent, as well as other details on the vehicle.
Time for you to send it! Take them wherever you please or pull from our list of trips.
When your trip is over, you return your rental to Vancouver.
Drivers must be 21 years of age or over. No charge for additional drivers. Only valid Canadian, United States or international driver’s licenses are accepted unless previously approved by Hastings Overland in writing. The driver’s license cannot be a learner’s, novice or similarly restricted license and must have been held for at least one year and be valid for the whole length of the rental.
The Jeeps can (we repeat, can) be driven into the United States.
Driving the Jeeps on dirt, gravel, and other back roads is allowed in most cases. More information can be found in our extensive Terms and Conditions supplied during the booking process.
$5,000,000 third party liability, comprehensive insurance for fire, theft, and vandalism ($1,000 deductible), and collision insurance ($1,000 deductible) can be purchased from us for $30/day. Otherwise you will need to have your own policy.
For locals, your own ICBC insurance covers you if you have a Roadstar or Roadside Plus package. If not, ICBC also sells rental packages. If you don’t want to do either of those we will sell you insurance. Insurance provided by your credit card does not apply to this type of rental, sorry.
For Tourists, your own insurance may cover international rentals. We can determine this if you send it to us. If it does not then you must buy our insurance as ICBC does not offer insurance to non-BC residents.
All foreign tourists are required to have a valid driver's license from your home country. If the drivers license is not in english then we require an international drivers license.
A reservation deposit equal to 25% of the invoiced total is required to confirm your booking.
The standard damage deposit is $2500.00. A visa is required at the time of booking to perform this transaction and it will be taken in the form of a pre-authorization. It is the Customer's responsibility to ensure that their credit limit will accept this size of pre-authorization. No refund will be given at the time of pick-up if a suitable card is not presented.
No cancellation fees apply up to 30 days prior to the pick-up date and a full refund of the deposit will be made. Cancellations within 30 days of pick-up will be charged the full amount of the deposit. Cancellations within one week will be charged half of the total invoiced amount and if cancelled within 72 hours of pick-up or the Customer is a no show then 100% of the rental cost will apply. No refunds can be given for early returns. All cancellations must be submitted by email to Hastings Overland.
We are open from 9:00 am – 5:00 pm, 7 days per week. Unless otherwise agreed, vehicles can be picked up between 4:00 - 6:00 pm. Vehicles must be returned by 10:30 am. Early pick-up (10:30 am) is possible for $125 and the same goes for drop off (3:30 pm) for the same price.
At the time of pickup, Hastings Overland and the Customer will review the vehicle and all of the replacement and repair costs will be agreed upon prior to rental in the Rental Agreement. Upon return, any damages or missing parts will be charged out at the agreed upon rates and will be charged through the damage deposit.
There is secure parking at our shop for your vehicle if you choose to arrive in one. It is $10/day.
The minimum rental period is four nights during the summer season (April 15-October 31) and two nights during the winter season (November 1-April 14).
Each rental comes with a 200 kilometre per day allowance. This is calculated over the duration of the rental. For example, if the Customer books for five nights then they would receive a 1,000 kilometre allowance. If the allowance is exceeded the additional kilometres will be charged out at $0.40/km.
We are very happy happy to supply you with suggested itineraries at no cost. It is the nature of the back roads in this region to change on a consistent basis and therefore we cannot guarantee that our itineraries are fully accurate. There are environmental factors that prohibit this from being possible (floods, landslides, etc). Drivers should have backup plans in case the supplied itinerary needs to change.
Hastings Overland will only accept credit cards for rental charges and payment is due 72 hours prior to pickup.
All Hastings Overland Vehicles come with Roadside Assistance throughout Canada and the continental United States. Note that this assistance is only available on official, paved roads.
Each Vehicle is supplied with a Spot Satellite GPS Messenger device in order to locate the Customers and the vehicle in case of emergency while out of cell reception. In addition, each vehicle is equipped with a GPS in the console.
Hastings Overland will entertain one-way rental proposals only prior to renting the Vehicles and for an agreed upon rate which compensates us for both the transit costs and the loss of revenue while the vehicle is unable to be rented.
Hastings Overland does not allow animals in the vehicles or in the roof top tents.
No smoking allowed in the Jeeps or roof top tents.
Add-ons are subject to availability. Failure of Hastings Overland to provide requested add-ons does not make the cancellation terms to be void. Add-ons ordered cannot be cancelled on the day of pick up and must be paid for.
A sheet for the mattress is supplied, however, blankets &/or sleeping bags are not normally supplied. Please inquire if this is an issue and we can likely make special arrangements.
The decals on the side of the vehicle cannot be power washed. If you decide to wash the vehicle while renting please keep this in mind.
There is a mandatory $50 cleaning fee for each rental. This is simply what our service provider charges us.
The roof rack can only hold a static load of 775 pounds.
The cooler drain is not to be used. If the drain is left open inside the Jeep then you are responsible for any damages that result from liquids draining into the vehicle. Please also return the cooler empty.
